Program & Administrative Coordinator Program & Administrative Coordinator Youth Music Monterey County (YMMC) – Monterey, CA 93940 Part-time – $25/hour, 20 hours per week, In Office | Monday – Thursday, with occasional evenings About Youth Music Monterey County (YMMC) Youth Music Monterey County (YMMC) inspires and engages young musicians throughout Monterey County through exceptional orchestral and chamber music experiences. YMMC supports two youth orchestras, a chamber music program, an in-school elementary strings program, and an afterschool orchestra program. With a focus on artistic excellence, collaboration, and community, YMMC provides opportunities for youth to learn, perform, and grow through the power of music by building the next generation through music. Position Summary The Programs & Administrative Coordinator plays a vital role in supporting YMMC’s programs and daily operations. Reporting to the Executive Director, this position manages administrative processes, program logistics, communication, student records, and financial tracking to help ensure the smooth and efficient functioning of the organization. The ideal candidate is highly organized, proactive, and detail-oriented, with strong communication and interpersonal skills. This role requires someone who is comfortable balancing office administration with hands-on program support and communication with students, families, and community partners. Key Responsibilities Administrative Support Provide administrative support to the Executive Director, including drafting correspondence, maintaining electronic and paper files, and supporting daily office operations. Create, manage, and maintain the organization’s master calendar, including rehearsals, lessons, meetings, performances, events, deadlines, and facility schedules. Answer phone calls, greet visitors, and respond to emails in a professional and welcoming manner. Prepare and distribute communications to students, families, donors, staff, schools, community partners, and collaborating organizations. Serve as point person for office management inquiries and vendor communication. Collect and compile timesheets for payroll bi-weekly. Track and document monthly expenses and invoices. Communicate with the bookkeeper regarding bills, reimbursements, and financial documentation. Oversee maintenance of office equipment, order office supplies, and maintain general office organization and cleanliness. Program Support & Coordination Support the administration and day-to-day operations of all YMMC programs, including Junior Youth (JYO) & Honors Orchestras (HO), Orchestra in the Schools (OITS), South County Strings (SCS), and YMMC Chamber Ensembles. Create, manage, and maintain student attendance, registration, tuition payments, and enrollment spreadsheets, keeping student records and participant information accurate and up to date. Create rehearsal rosters and attendance records for JYO, HO, and OITS; track student attendance and communicate absences to staff and families as needed. Enter and maintain data in various databases (i.e. music library, donor database). Set up and prepare rehearsal and classroom spaces for the afterschool orchestra program. Assist with instrument inventory management, including tracking rental instruments for each program. Prepare, copy, scan, print, organize, and distribute music for students, coaches, and guest musicians. Maintain and manage digital access to rehearsal and performance music materials. Event & Concert Operations Support volunteer coordination for concerts and events, managing Sign-Up Genius and volunteer needs specific to each event. Coordinate concert program materials, design, and printing with graphic designer and assist with program advertisement solicitation. Execute ticket design and printing for concerts and events. Assist with promotional materials and communications for concerts, performances, and special events. Qualifications Bachelor’s degree preferred; equivalent experience will be considered. Strong organizational, communication, and interpersonal skills. Demonstrated ability to work independently, proactively, and with minimal supervision. Ability to manage multiple priorities and deadlines with strong attention to detail. Proficiency in Microsoft Office Suite and Google Workspace, including spreadsheet management and database recordkeeping. Experience working in music, arts administration, nonprofit organizations, or youth programs preferred. Hands-on experience with office machines (copiers, postage machines, printers). Ability to think critically, solve problems, and maintain a positive and professional attitude in a dynamic environment. Artistic Staff Miriam Oddie South County Strings Director Acclaimed as both a teacher and a performer, native New Zealander Miriam Oddie is devoted to inspiring a love of music in audiences and students. She has performed with numerous orchestras such as the Abilene Philharmonic, the Midland Odessa Symphony and Chorale, and the Dallas Bach Society. Simultaneously, she has taught numerous violin and viola students in the Lewisville, TX school district and also maintained a private studio. Miriam has participated in numerous music festivals, including the Eastern Music Festival, the Castleman Quartet Program, and the Aspen Music Festival. In summer 2019, she was honored to be a guest artist at the Saarburg International Music Festival in Saarburg, Germany. Miriam attended the prestigious Eastman School of Music for her undergraduate degree, studying with violists John Graham and Carol Rodland. She went to the University of North Texas to pursue her Masters degree, studying with renowned violist and pedagogue Susan Dubois. While at UNT, she served as the principal violist of the university symphony and also began exploring a passion for baroque music as a member of the UNT Baroque Orchestra. When not teaching or performing, Miriam is probably reading, running, or baking! Back to Staff

Private Lesson Assistance YMMC has found private lessons to be an essential tool for our students to thrive and contribute to our orchestras. In order that this will not deter any dedicated students from participating on our orchestras, we may have additional funding available to subsidize the costs of private lessons. Only students who qualify for tuition assistance are eligible to apply for private lesson assistance. Our available funding varies from year to year, and may not always be available. Awards are not intended to cover the entire costs of lessons. Eligibility To qualify, students must be enrolled in either the Junior Youth or Honors Orchestra. Students must have submitted an application for financial assistance and have been granted an award. Students may only use the award towards lessons on the instrument they play in a YMMC ensemble. Students must submit a new application for lesson assistance each year. Payment The student's private teacher will receive a letter explaining the amount of the award, and the process for billing YMMC. Private teachers will bill YMMC directly up to the amount, and terms detailed in the award letter. All billing must be directly between the teacher and YMMC. Student Responsibility YMMC expects students on scholarship to attend all concerts, rehearsals, and retreats. Poor attendance may result in a revocation of all or a portion of a student's scholarship. YMMC is only able to pay for lessons that have already taken place. YMMC is not able to pay for lessons scheduled in the future, or for any lessons that the student did not attend. If a student incurs a fee for missing a lesson (pursuant to the private teacher's policies), it is the student's responsibility to pay the teacher for the missed lesson. YMM Mission Statement Youth Music Monterey County supports two orchestras , a chamber music program, a brass ensemble , a woodwind ensemble , a in-school program , and an afterschool program , along with performance opportunities throughout Monterey County. Our Junior Youth and Honors Orchestras are led by professional conductor Maestro Alan Truong and feature approximately 100 student musicians. Youth Music Monterey County was established as a 501(c)(3) organization on May 18, 1988, with the merger of two programs: the Youth Orchestra of Monterey County (est. 1981) and Summer Music Monterey (est. 1965). This experience helps them develop knowledge of symphonic literature, as well as technical and artistic skill. These musicians delight hundreds of community members with outstanding performances at the Sunset Center in Carmel. The orchestras draw many of the best young musicians from throughout Monterey County – from Salinas and Monterey to Carmel Valley and Pacific Grove. Socio-economically diverse and distinguished by talent and commitment, these youth are leaders in school and private music programs today, and are the musicians of tomorrow. Chamber Music Three chamber music programs provide Honors Orchestra musicians opportunities to advocate for the arts and give back to the local community through public performances representing YMMC. These programs consist of the Chamber Players , the Brass Ensemble , and the Woodwind Ensemble . Accessible and Essential Music YMMC’s South County Strings Program involves formal partnerships between YMMC and South County school districts, including Soledad Union School District, San Antonio Union School in Lockwood, and Bradley Union School in Bradley. A team of instructors provides free violin, viola, and cello instruction in group lessons during the school day to students in grades 3-8 living in rural south Monterey County.
